<p>We initially used SAFE only as a document archival program. Last year, we started using the document management software to track all of our memorial orders. <strong>The impact was immediate – it was a God-send!</strong> Recently, we’ve expanded our use of SAFE even more, implementing it to track our customer service requests and date scrolls.</p>
<p>SAFE saves us so much time, and has helped us make our customer service even better. I cannot imagine going back to the way we did things before!</p>

Today’s post: How we learned that a document scanner alone is not an electronic document management system.</em></h3>
<p><img class="alignright size-full wp-image-2665" alt="Document Management Software User Corner" src="http://www.cabinetpaperless.com/wp-content/uploads/2013/04/Document_Management_Software_User_Corner1.jpg" width="396" height="425" /><strong>As they say in Maine, “You can’t get there from here.” </strong>Buying a document scanner is really just the tip of the iceberg when you want to take your office paperless – especially if you&#8217;re like us, and you don&#8217;t buy the right scanner the first time.</p>
<p>Here are some hard-learned tips from our quest to pair the right document scanner with our Cabinet SAFE CLOUD electronic document management software.</p>
<h4>1. Make sure you have the right electronic document management software first.</h4>
<p>Do you want it installed on your servers or do you want Software as a Service (or cloud-based) document management solution? Make sure you have this decided and then purchase a document scanner that is compatible with your document management software product.</p>
<p><strong>With our SAFE CLOUD document management software, any document scanner with a TWAIN interface would be compatible.</strong> Do you need integration with QuickBooks or other legacy applications? Now is the time to select the right document management software, <em>then</em> find the compatible scanners. Buying a document scanner before document management software would be like copying all of the files in your filing cabinets and then throwing them into a room with no folders, drawers or labels. Insane.</p>
<h4>2. Chose your document scanner carefully.</h4>
<p>Will you just scan single page once in a while? If so, most of the edge-fed document scanners will work for you and your document management software. But you&#8217;re probably in the minority.</p>
<p><strong>If you want to get rid of all of the paper in your office, a robust sheet feeder will be key.</strong> This is also important if you are going to batch scan documents (like we did for <a title="User Corner: Handling Personnel Files with Document Management Software" href="http://www.cabinetpaperless.com/personnel-files-and-document-management-software/">all the personnel files</a>). There are plenty of TV informercials that make this look like magic. They&#8217;re lies. Take it from our office: We started with a TV product and an itsy bitsy scanner &#8230; and threw them both out. Scanning was only effective after we purchased a networked Canon Multifunction Device and a <a href="http://usa.canon.com/CUSA/assets/app/pdf/ISG/Scanner/DR_M140_Brochure_ReadOnly.pdf" target="_blank">Canon DR-M140 desktop scanner</a>. This lets the person who does most of our scanning work directly from his desk.</p>
<h4>3. Have a change management process in place.</h4>
<p>Contrary to popular belief, paper doesn’t scan itself and disappear. Who will scan and index the documents? <strong>Will you use OCR for full text conversion and, therefore, full-text retrieval?</strong> Will you scan documents day-forward or will you do what is called a “backfile conversion?&#8221; Who will do the backfile conversion? With SAFE CLOUD, we are scanning day forward and our interns are gradually scanning in our &#8220;backfile.&#8221; Your mileage may vary – have a plan in place.</p>

<p>“The product is very structured, which makes the product easy for end users to learn and use,” writes Brian Tankersley, CPA Practice Advisor’s technology editor.</p>
<p>Additional strengths called out by Tankersley include workflow capabilities, QuickBooks integration, as well as its ability to integrate with other popular accounting applications, an available mobile app and options for on-premises or cloud hosting.</p>
